Agentivo provides a managed WhatsApp AI agent service for small and medium businesses. This Privacy Policy explains how we collect, use, and safeguard personal data when you visit our website, request a demo, or interact with a WhatsApp agent powered by Agentivo on behalf of one of our business customers.

Data we collect

We collect only the data needed to operate and improve the service. This includes:

• Demo and contact data: name, email address, phone number, business name, website, and any details you share when requesting a demo or pilot.
• Business context: descriptions, website content, product catalogs, FAQs, and support materials used to configure your AI agent.
• WhatsApp messaging data: phone numbers, message content, timestamps, delivery status, and related metadata processed through the WhatsApp Business Platform.
• Support and operational data: helpdesk requests, conversation summaries, and feedback used for troubleshooting and quality assurance.
• Technical and usage data: IP addresses, browser type, device information, logs, and analytics data to maintain security, performance, and reliability.

How we use your data

We use collected data to:

• Provide, configure, and operate the WhatsApp AI agent service.
• Respond to demo requests and onboard new business customers.
• Generate AI replies, escalate conversations to human staff, and manage handoff workflows.
• Provide customer support, diagnose issues, and maintain service security.
• Analyze usage patterns and improve the accuracy, reliability, and usability of the platform.
• Comply with legal obligations and enforce our terms.

WhatsApp and Meta

Agentivo uses the WhatsApp Business Platform and related Meta infrastructure to send and receive messages. Our business customers are responsible for obtaining lawful consent or opt-in from their contacts before messaging them through the service, and for complying with Meta's Business Messaging Terms and applicable messaging policies.

End users may opt out of receiving WhatsApp messages at any time by replying STOP or contacting the business directly. You may also contact us at privacy@agentivo.io to request deletion or restriction of your data.

AI processing

Messages and business content may be sent to third-party AI model providers to generate replies. Depending on configuration, conversations may be reviewed by humans for quality assurance, training, or escalation.

We do not claim zero data retention by default. Retention settings depend on the AI provider, hosting configuration, and any specific contractual arrangements we agree with a customer.

Subprocessors and service providers

We rely on carefully selected service providers to host and operate the platform. These may include:

• Vercel for web hosting and edge infrastructure.
• Supabase for database, authentication, and related backend services.
• n8n and VPS infrastructure for workflow automation and message routing.
• Google Sheets and Google Cloud for data sync, storage, and catalog integration.
• Meta / WhatsApp for messaging delivery.
• AI model providers for natural-language understanding and response generation.

Data retention

We retain personal data for as long as necessary to provide the service, fulfill legitimate business purposes, resolve disputes, enforce agreements, and meet legal or security obligations. When data is no longer needed, we delete or anonymize it in line with our technical capabilities.

To request deletion of your data, email us at privacy@agentivo.io. We will respond within a reasonable timeframe and may need to verify your identity.

Your rights

Depending on your location, you may have the right to access, correct, delete, restrict, or object to the processing of your personal data. You may also have the right to withdraw consent or request a copy of data you have provided.

Security

We apply reasonable technical and organizational safeguards to protect your data, including HTTPS/TLS encryption in transit, access controls, server-side secret management, and database-level protections such as Row Level Security where applicable. No service is completely secure, and we encourage customers to use strong passwords and limit access to authorized personnel.

International transfers

Our service providers may process data in countries outside your own. Where such transfers occur, we rely on appropriate safeguards permitted under applicable data protection laws, such as standard contractual clauses or equivalent mechanisms, to the extent required.

Changes to this policy

We may update this Privacy Policy as the service evolves or legal requirements change. We will post the revised version on this page with an updated date. Continued use of the service after changes constitutes acceptance of the revised policy.
